Completing Requests

A Completed request is one that is no longer usable, this means that it has either been Approved and the approved time range has expired, the request has been completed by an Administrator or deleted (terminated) by the requester themselves.

This article will describe the methods that advance a request to the completed state.

Request Expiration

A request that has reached the completed stage through time expiration is the natural end state of requests. Any request that has been Approved will, at some point in the future, reach the end (Requested To) period that was submitted with the approved request.

When this Requested To end time arrives, the request will automatically move from the Approved to Completed state and the request will no longer be usable.

At this point, the requester would need to submit a new Request Form and receive approval, if they wish to continue working with this action.

Administrator Completion

A request that is currently in an Approved state can be manually advanced to Completed by an Administrator. It is designed like this for cases where the requester was mistakenly approved, the approved time range is too long or it was approved with exclusivity and another user needs immediate access. For many reasons, this function provides Administrators the ability to take emergency action against Approved requests.

To perform an Administrative Request Completion:

  1. Log in with an Administrator account.
  2. Navigate to Reports > Action Requests and locate the Approved request that you wish to Complete.
  3. Use this request's Action menu and select the option Complete.
  4. Click Ok on the confirmation prompt and this Approved request will advance to the Completed state.

This request will no longer be usable and if the requester requires access to it again, they will need to restart the request process.

Requester Deletion (Terminate)

Requesters also have control to Complete and Delete their own requests if such requests are no longer required or were submitted with incorrect parameters.

As a requester, you can Delete your own Active request:

  1. Log in with your requester account.
  2. Navigate to My Profile > My Requests.
  3. Locate the Active request that you wish delete and select the Actions > Delete option.

This operation will delete this Active request which will remove it from both this My Requests page as well as the Action Requests report.

This operation will appear in the Events report as the event: Delete Request.

As a requester, you can Complete your own Approved request:

  1. Log in with your requester account.
  2. Navigate to My Profile > My Requests.
  3. Locate the Approved request that you wish complete and select the Actions > Complete option.

This operation will advance this Approved request to the Completed state and therefore it will no longer be usable. This will remain in the My Requests page and the Actions Request report with the status of Completed.
