Action Requests Reports
The Action Requests report displays the list of space requests that Administrators and Auditors can use to review and manage. Action requests are initiated by users when they request access to an action like Asset Edit or Unlock, including each status and other related metadata.
Following the approval of an action request, the software will grant the user who initiated the request access to this function for the duration of the approved time. When the approved time expires, or the action request is manually set to completed, by the requester, space Request Administrator or space Administrator, the approved access to this function will be revoked.
Request Status
An Action Request status represents the current state of each request and can be one of the following:
- Active state indicates the request is currently in the process of approval by the authorizers defined in the Request Form.
- Approved state indicates the request is approved by all authorizers on all levels defined in the Request Form. The requested action for the requested object is available for the requested user ("requester").
- Rejected state indicates the request is rejected by one of the authorizers on any level defined in the Request Form. As a result, the requester does not have access to the requested action.
- Completed state indicates the request is completed by either the requester or the space request administrator before the requested time range expires. As a result, the user no longer has access to the requested action.
Request Status Updates
An Action Request status can advance through the following stages:
-
An Active status can advance to the:
- Approved state if authorizers of each level, as defined in the Request Form, have approved the request.
- Rejected state if any single authorizer on any level, as defined in the Request Form, has rejected the request.
- Completed state if the requester chooses to delete their own request prior to it advancing to approved or rejected.
-
An Approved status can advance to the:
- Completed state once the approved time has expired OR
- Completed state if the Requester, Administrator or Request Administrator has chosen to manually complete the request.
-
A Rejected status will not advance to another state and will remain as rejected in the software's log.
-
A Completed status will not advance to another state and will remain as completed in the software's log.
Report controls
The Filter control enables users to refine report rows based on specified search criteria.
The Pagination control enables users to navigate between report pages, adjust page size, and view the total number of rows alongside the current rows displayed on the page.
The Sort control is indicated by up or down arrows next to sort-able report column names when hovering over them. Clicking on the sort control will refresh the report, applying either ascending or descending sorting based on the current selection visible on the active sort column.
The Column filter control, represented by a funnel icon next to report columns that support filtering, is located to the left of the column title. It presents filtering options specific to each selected column. The current filter selection for a column is displayed in the Conditions box at the top right corner of the report. The funnel icon corresponding to the active filter column is highlighted in the report header. Use the "Clear Filters" button to reset all filter controls to their default values.
The Export control allows users to download report data in their chosen format (CSV or PDF). If specific report rows are selected using checkboxes on the left side of each row, the exported file will only include these selected rows. Otherwise, it will include all rows that meet the current filter and search criteria.
The Details control allows expanding each row to display all fields, including those not initially selected for the tabulated report columns.
The Include in List / Exclude from List control allows users to add or remove a field from the list of columns displayed in the tabulated report. This control is represented by an indicator (a green check mark for included columns or a red cross for excluded ones) located to the right of the field name within the expanded details panel of the report. Clicking on the indicator updates the visibility of the column in the list accordingly.
